Schedule a TVRC Event

All conferences are scheduled on a first come, first serve basis. Therefore, please allow adequate lead time to ensure you get the timeslot and services you need for a successful conference. The technical staff recommends, at least, a four-week lead-time to obtain the timeslot and full resources you require. In some cases, it may be possible to fulfill requests within a shorter period of time, but you should check with tvrc@oar.net in advance to check on availability. Once you complete the scheduling request form below, you will receive an e-mail with a link to register with our database site. You must complete this registration before we can proceed with scheduling your event.

Scheduled conferences will be allocated the necessary resources according to the following variables:

  1. Amount of lead-time for conference request: weeks and/or days
  2. Testing needs. Testing is required; please arrange a time to test with all interactive sites before the event. 
  3. Length and time of the videoconference
  4. Videoconference format: voice-activated (one user onscreen) or continuous presence (multiple users onscreen)
  5. The rate at which you want the conference (384 kbps or more recommended)
  6. Number of sites allowed in the conference. All interactive sites need to register.
  7. Streaming of the conference
  8. Recording and short-term archiving of the conference

About Streaming:
Videoconferences are streamed using a Starbak VCG streamer. This box signs into a conference as an endpoint then streams the conference over the network at the same bit-rate as the conference, but the MCU can be used to connect the streamer at a different rate. You will not be able to use this feature to stream to a 56Kbs modem user. The recording of the stream is another feature of the same box. This recording is in a proprietary format and therefore can only be viewed off the box that captures it. We will store this recording for three weeks after the event. We can provide .mov or .asf files of the recording if you would like a copy of your archived event, but you need to ask for this archive before the end of your three-week storage period.
